Data Residency and Encryption

Plan voice, transcript, recording, knowledge, and CRM data through its full lifecycle.

11 min readUpdated 25 Sept 20264 guides in this section

Voice automation creates transcript, audio, contact, property, and qualification data. Document where each data type is processed and stored, who can access it, how long it is retained, and how deletion requests are fulfilled.

Data lifecycle inventory

Data typePrimary controls
Live audioEncrypted transport, access controls, short in-memory processing where possible
RecordingsAuthorized access, encryption at rest, retention and deletion policy
TranscriptsTenant isolation, query controls, retention and deletion policy
Contact and qualification dataPurpose limitation, field minimization, CRM access control
Knowledge documentsTenant isolation, source approval, deletion on project removal
Logs and diagnosticsSecret redaction, restricted support access, bounded retention

Encryption baseline

  • Use TLS for browser, service, carrier, and webhook connections.
  • Use managed encryption at rest for recordings, transcripts, databases, and object storage.
  • Encrypt backups using keys with controlled rotation.
  • Keep signing secrets and API credentials in a secret manager.
  • Use least-privilege roles and separate customer support access from routine application access.

Retention design

  1. 01

    Classify the data

Assign an approved purpose, owner, system of record, and retention period.

  2. 02

    Apply the default

Store the data in the required region and delete it automatically when the period expires.

  3. 03

    Limit derived copies

Include exports, analytics datasets, backups, and downstream CRM records in the deletion plan.

  4. 04

    Evidence the process

Record deletion jobs, exceptions, legal holds, and completed subject requests.
